Hotel Fam Club – Terms & Conditions for Familiarisation Stays.

Refund Policy

By signing up and making a payment to join Hotel Fam Club, you acknowledge that your membership provides immediate access to valuable industry insights, key information on securing fam stays, direct hotel contact strategies, and an in-depth understanding of how hotels operate in this space. Due to the instant availability of these resources upon joining, all membership fees are non-refundable. We encourage all agents to review the benefits of membership before signing up, as refunds will not be issued once access has been granted. 

 

When a travel agent accepts a Familiarisation Stay sourced by Hotel Fam Club, they agree to the following terms and conditions:

 

1. Content Sharing Commitment

• As part of the stay, travel agents must provide a high-quality collection of content (photos, videos, or reels) to Hotel Fam Club.

• Content must be submitted within seven (7) days of check-out.

• Content should highlight the experience of the stay, key selling points of the hotel, and aspects that would attract potential clients.

• Content must be authentic, engaging, and free of watermarks, heavy filters, or logos.

 

2. Stay Blog Contribution

• Agents must provide a short but informative “Stay Blog” (a write-up about their experience, key highlights, and selling points).

• The Stay Blog will be shared with all Hotel Fam Club members, allowing them to use it for their own client engagement and sales.

• The purpose of the Stay Blog is to help increase visibility for the hotel and create more opportunities for future familiarisation stays.

 

3. Power in Numbers, Why This Matters

• By sharing content and a Stay Blog, each agent is contributing to a larger collective effort that strengthens relationships with hotels and encourages more opportunities.

• Hotels will be more likely to offer familiarisation stays in the future when they see a strong return on investment (ROI) from previous stays.

• Hotel Fam Club leverages this group effort to negotiate more exclusive opportunities for its members.

 

4. Professionalism & Representation

• Agents must act professionally at all times during their stay, representing both themselves and Hotel Fam Club positively.

• Requests for additional perks, upgrades, or complimentary extras must be handled with discretion and should not be expected.

• Failure to provide content or a Stay Blog after a stay may result in exclusion from future familiarisation stay opportunities.

 

5. Liability & Costs

• Hotel Fam Club & hotel partners unless stated otherwise, are not responsible for travel costs, UK and international, additional expenses, or changes made by the hotel. Unless agreed otherwise with the hotel & Hotel Fam club.

• Any cancellations or changes to travel plans must be communicated directly with the hotel and Hotel Fam Club must be informed.

6. IMPORTANT TO NOTE: 

Communication & Requests Policy

Travel agents who request hotel familiarisation stays, introductions, or any other actions facilitated by Lottie must submit their requests via email. Due to the high volume of messages across WhatsApp and Instagram, requests sent through these platforms may get lost in the noise and are not guaranteed to be actioned. To ensure your request is properly received and processed, please use email as the primary method of communication. Hotel Fam Club cannot take responsibility for any requests that have not been actioned if they were sent via social media or WhatsApp.

 

By accepting a Familiarisation Stay through Hotel Fam Club, you agree to these terms, ensuring that you contribute to a mutually beneficial relationship between travel agents, hotels, and the wider Hotel Fam Club network.
